Position Description:

Sunnybrook Health Sciences Centre is a nationally leading and internationally recognized academic health care centre based at several sites in the Greater Toronto Area (GTA). Our team delivers expert, compassionate care to patients from across Ontario; wide ranging and sometimes unique education to thousands of learners each year; and research and implementation of innovations that invent the future of health care. Since our first patient in 1946, Sunnybrook has evolved and expanded to become a network of integrated sites and campuses representing the full continuum of care including pre-hospital, acute, and post-acute and key specialty services for Ontario.

 

Sunnybrook is embarking on a multi-year digital, clinical transformation project to implement a new health information system (HIS) across all campuses and satellite sites, through Project REACH. The project is a pillar of enabling exemplary patient experience and quality of care and therefore this is not solely an information technology initiative, but one founded in clinical transformation and care redesign. Led by the Clinical Informatics Team, Project REACH will strive to enhance patient care, streamline clinical workflows and support our clinicians.

 

Role Summary

Reporting in to the project office for Project REACH, Project Assistants (PA) will support a variety of project related assignments including technical, clinical, training, go-live and other key enabling activities. Working in a matrix setting, PA’s will manage daily activities of the project office or assigned work stream, providing administrative and project support to all team members.

 

Working in a team-based environment that is mission-driven, results-focused, and customer oriented, the incumbent will support the HIS implementation from conception to completion, in addition to performing a variety of project and administrative tasks.

 

The incumbent should be comfortable supporting technology and may have responsibility for training and/or supporting staff and physicians directly.

Additional daily activities and multi-site travel may be required. The incumbent may be required to support activities outside of regular business hours.

 

Project Responsibilities:

  • Assist in and independently plan, coordinate and implement projects of low to medium complexity
  • Assess, establish, and maintain data management systems to ensure organized electronic and paper records for projects, using portal application systems such as SharePoint
  • Manage stakeholder expectations and establish and maintain a consultative relationship with internal and external clients
  • Support the application of disciplined and consistent project management methodology throughout the lifecycle of the project
  • Assist with preparation of project communications, power point presentations, and periodic reporting requirements

 

Administrative Responsibilities:

  • Serve as a liaison between the project team and our partners, organizing and coordinating organizational wide efforts
  • Prepare meeting agendas, minutes, presentations, communications, and training materials
  • Organize meetings, conferences, special events, and travel
  • Other duties as assigned

 

Qualifications:

  • 3 years of administrative, project coordination, business process/analysis, and data analysis experience or equivalent, ideally in a healthcare setting
  • Community College diploma specializing in Office Administration or equivalent. Post-secondary education in a computer technology or healthcare related field or equivalent in related experience
  • Good knowledge of project management best practice methodologies (project planning, implementation, evaluation, risk assessment, benefits realization)
  • Demonstrated ability to handle a large and diversified workload with often rapidly changing priorities and challenging deadlines is essential
  • Ability to work effectively within a multi-disciplinary team
  • Flexible, self-directed and able to work effectively with minimal supervision
  • Experience in conducting workflow analysis, value stream mapping, data mapping, and Plan-Do-Study-Act cycles an asset
  • Experience performing application testing (e.g. unit, regression, acceptance testing) an asset

 

Skills:

  • Excellent written, verbal, interpersonal communication and organizational skills
  • Excellent interpersonal and client relationship skills, with the ability to communicate effectively
  • Advanced skill level required for MS Word, Excel, Power Point, and Outlook
  • Ability to work in a fast paced environment, prioritize activities, and exercise attention to detail
  • Ability to work independently and as a team player
