Summary of Duties:
The Program Coordinator provides coordination, administrative, reporting, and analytical support to the Toronto Central North Regional Cancer Program (TCNRCP) and serves as the primary point of contact for the Patient and Family Advisory Council (PFAC). Working collaboratively with Patient and Family Advisors, staff, physicians, leaders, partner hospitals, and Ontario Health Cancer Care Ontario (OH-CCO), the Program Coordinator supports effective engagement and communication, coordinates key meetings and reporting processes, and analyzes performance information to advance accountability, quality improvement, and informed decision-making. Key responsibilities include:
- Serve as the primary point of contact for the Toronto Central North Regional Cancer Program (TCNRCP), the Patient and Family Advisory Council (PFAC), and a variety of strategic and operational initiatives across the centre.
- Coordinate the planning, implementation, monitoring, and evaluation of projects and initiatives aligned with departmental, regional, and organizational priorities.
- Lead the coordination and administration of the Patient and Family Advisory Council (PFAC), including recruitment, onboarding, orientation, meeting planning, facilitation, annual reporting and ongoing support of Patient and Family Advisors.
- Support meaningful patient and family engagement by facilitating participation in committees, working groups, quality improvement initiatives, program planning activities, and special projects.
- Coordinate activities, meetings, reporting requirements, and stakeholder engagement initiatives related to the Toronto Central North Regional Cancer Program and Ontario Health priorities.
- Develop and maintain project plans, workplans, timelines, deliverables, and status reports to support project implementation and achievement of objectives.
- Coordinate complex schedules, meetings, workshops, and events involving patients, families, clinicians, staff, leadership, external partners, and provincial stakeholders.
- Facilitate effective communication and collaboration among multidisciplinary teams, internal departments, regional partners, and external stakeholders.
- Collect, compile, analyze, and maintain program and performance data to support reporting requirements, quality improvement initiatives, and informed decision-making.
- Coordinate the preparation and submission of reports and supporting documentation for Ontario Health, regional initiatives, and organizational priorities.
- Coordinate, track, reconcile, and report patient transportation and accommodation requests in accordance with program requirements, including preparing required OH-CCO submissions and supporting documentation.
- Support the planning and execution of large-scale meetings, engagement sessions and special events.
- Contribute to strategic planning, program development, continuous quality improvement, and organizational change initiatives.
- Build and maintain effective working relationships with patients, families, staff, physicians, leadership, community partners, and external stakeholders.
- Support and contribute to a variety of initiatives and projects across the centre as required, providing project coordination, stakeholder engagement, reporting, and operational support to ensure successful implementation and achievement of objectives.
Qualifications/Skills:
- Undergraduate degree in health administration, health sciences, business administration, or a related field required.
- Project Management Certification preferred
- Minimum three years of relevant program or project coordination experience, preferably in a health care environment.
- Ability to manage multiple competing priorities, timelines and responsibilities to meet specified deadlines
- Strong analytical, problem-solving, and critical-thinking skills, with experience compiling, interpreting, and presenting performance data.
- Proficiency with Microsoft Office applications, including Excel, PowerPoint, Word, Outlook, and Teams; experience developing reports and data visualizations is an asset.
- Excellent written and verbal communication, meeting coordination, facilitation, and documentation skills.
- Strong interpersonal skills and demonstrated ability to build collaborative relationships with patients, families, clinical teams, leaders, and external partners.
- Knowledge of person-centred care and patient and family engagement principles; experience supporting advisory councils or committees is an asset.
