Position Overview
Reporting to the Sr. Manager, Events, the Events Intern will support with the coordination and implementation of logistics, execution and production of the RBC Race for the Kids. The Events Intern will be responsible for monitoring timelines, event implementation and building relationships with internal and external stakeholders, including but not limited to donors, volunteers, employees, vendors and team members. Supporting the Community Engagement team through clear communication, excellent customer service and in a detail-oriented way, the Events Intern will help with the execution of events and connect with community members.
Key Duties and Responsibilities
- Effectively monitor and communicate project timelines to ensure responsibilities for event execution are met, including remaining on schedule, effectively managing resources, remain on budget and all stakeholder questions are answered
- Assist the RBC Race for the Kids Project Co-Leads, with day to day logistics planning and stakeholder management, in particular, with Industry Challenge participants
- Provide exceptional customer service to event participants, donors, volunteers and vendors via phone, email and in-person at special events
- Support and cultivate relationships with event participants, vendors, volunteers and stakeholders
- Act as a fundraising ambassador; manage the administrative duties such as invoicing and proposals for all sponsors and industry challenge participants
- Manage general administrative duties including mailings, data maintenance, reporting delivery and ordering of supplies
- Update and maintain database management software for event participants, donors and volunteers to ensure data integrity
- Manage donation and donor inquiries, including accepting donations and assisting with tax receipts
- Assist with creating, updating and utilizing event planning documents
- Support with management of supplies for the event including packing day-of necessities
- Identify real-time issues or concerns that could be addressed through website updates or monthly emails
- Provide support for sponsorship solicitation and tracking including researching new opportunities and personalizing sponsorship offering
- Coordinate regular website updates as per the direction of RBC Race for the Kids Co-Leads
- Perform other duties as assigned
Qualifications and Competencies
- Post-secondary education in Event Management or Fundraising Management, either recently completed or in-progress
- Ability to work in a fast-paced environment by effectively time-managing to complete multiple competing deadlines, questions and projects
- Exceptional attention to detail, with the ability to embrace change and challenge the status quo to identify opportunities for improvement
- Solution-driven with the ability to anticipate challenges, troubleshoot and mitigate risk
- Excellent communication skills with the ability to respond promptly to all requests and questions
- Demonstrated ability to work both collaboratively and individually with minimal supervision
- Ability to act as a Foundation brand ambassador by maintaining positive relationships, being flexible to internal and external requests and act professionally
- Flexibility to work weekends and evenings at the Sunnybrook Foundation and other event locations when necessary
- Valid G license
- Advanced knowledge of Microsoft Office software suite
- Knowledge of Raiser’s Edge and Luminate Online is an asset
Total Rewards Package
The hourly rate for this position is $22 per hour.
In addition to the compensation, we offer flexible work arrangements with a minimum of two (2) days in office, and learning and growth opportunities.
