Position Overview

The Gift Administration Associate is responsible for managing all online gift processing channels, preparing tax receipts and acknowledgement letters for all gift levels, and the processing of philanthropic gifts in Raiser’s Edge. Guided by our values, this role provides exceptional customer service in all interactions, helping to create a positive experience with donors, volunteers, and internal stakeholders.

 

This role is ideal for someone who enjoys working with data, values accuracy, and understands how high-quality data supports strong donor relationships and organizational impact.

 

Key Responsibilities

  • Manage all online gift import processing, including third party vendors and internal payroll donations
  • Prepare tax receipts, duplicate receipts, and fulfillment letters to supporters and internal stakeholders for delivery to donors
  • Prepare electronic and manual bank deposits for gifts processed and reconcile bank deposits
  • Organize, coordinate and maintain the integrity of soft copy data files on a timely basis
  • Review documentation, engage with key team members and process philanthropic pledges and gifts
  • Analyze gifts and import files to determine appropriate actions
  • Identify and support process improvement initiatives to enhance efficiency, accuracy
  • Support monthly donor program during peak periods and process EFT transfers on a bi-monthly schedule
  • Provide support to Sunnybrook’s Staff Lottery 50/50 program and processes
  • Act as support for the daily import of direct mail data and code records accordingly
  • Support the processing of special event donations during peak periods.
  • Create and maintain import templates, data mapping procedures and data flows for external sources.
  • Other duties as assigned.

 

Qualifications and Competencies

  • A minimum of 3 years experience in an administrative, data processing, customer service role
  • Experience with processing online, philanthropic, events, direct mail or monthly donations or equivalent experience from a related industry
  • Experience with Raiser’s Edge or other fundraising software is considered a strong asset
  • Working knowledge of fundraising operations, donor administration, financial processing in the non-profit industry is considered a strong asset
  • Proficiency in Microsoft Office Suite tools such as Excel (e.g., pivot tables, VLOOKUP)
  • Attention to detail and accuracy with proven ability to manage accurate data entry and uphold data integrity
  • Comfortable working with large data and high-volume data entry for importing
  • Results-oriented with demonstrated time management skills and ability to prioritize effectively to meet competing deadlines
  • A self-starter with the ability to work both independently and in a collaborative team environment
  • Exhibits strong interpersonal skills, including verbal and written communication proficiency
  • Works well under pressure and can adapt to fluctuating seasonal workload
  • Ability to understand donor needs and to consider the donor experience
  • Passion for healthcare philanthropy with experience in a hospital foundation or similarly complex environment is considered an asset

 

Total Rewards Package

This role has been evaluated with an annual salary range of $47,000 - 68,000. The hiring range for this position is $47,000 - 58,000. The salary will be determined based on the successful candidate’s years of experience, qualifications, and competencies that are relevant to this position. This position requires 5 days in office to support internal and external staff members and our donors.

 

In addition to salary, our competitive compensation package also includes comprehensive health and dental benefits, HOOPP (Healthcare of Ontario Pension Plan), 2 float days each fiscal year and additional Sunny Days (long weekend closures in advance of summer long weekends and Christmas).
