Role Overview:

This role provides general administrative support for a multi-site team, including Volunteer Resources Coordinators (VRCs) and Director, and liaises with a variety of internal and external stakeholders (patients, volunteers, visitors,staff etc.) ensuring a positive experience and reputation. 

Summary of Duties:

Administrative functions including: volunteer management database,(Better Impact software) managing/creating Survey Monkey surveys, generating metrics, budget, financial reports, etc.

•    Effectively manage initial points of contact for three general departmental email accounts and voicemail box.
•    Schedule in-person, virtual and hybrid meetings and events using Zoom, Microsoft Teams,  Room Manager, Catering Services and oversee department calendar.
•    Complete meeting minutes.
•    Complete staff payroll timesheets.
•    Manage department supplies and orders (uniforms, infection control supplies, (masks, hand sanitizer, etc), department equipment (e.g. computers, software), furniture, using Ariba purchasing software.
•    Manage invoices and payments efficiently
•    Assists with corporate and departmental communications to volunteers, including monthly E-Bulletin, special updates, etc.   
•    Coordinate review of new volunteer role proposals.
•    Produce variety of departmental materials/documents using MS365, (Word, PowerPoint, Excel, etc.)  including training materials, signage, fillable forms, etc.
•    Support the planning and execution of volunteer educational and recognition events, including National Volunteer Week, Service Awards, Colin D. Irving Award, special training etc.
•    Occasionally, as needed, assist with ensuring accurate and current information on external and internal websites (liaison with Digital Communications Team and using Content Clarity Management for Sunnynet)
•    Work collaboratively with the Toronto District School Board High School Cooperative Education Program Leader – partnered with Volunteer Resources.
•    Staff coverage at various sites as needed 

 

 

Qualifications / Skills:

•    Holds post -secondary degree/diploma or relevant equivalent experience/education
•    Strong literacy in software and digital applications including Microsoft Office 365 and MSTeams, Survey Monkey, Adobe, and other software applications (volunteer management, Purchasing, payroll, etc.) 
•    Strong organizational and time management skills
•    Ability to prioritize, and complete time sensitive tasks efficiently.
•    Initiative, ability to work independently, as well as a member of a team, that covers all sites of Sunnybrook
•    Adaptability, flexibility, as well as ability to respond to changing and competing priorities in a fast-paced environment with frequent interruptions.
•    Demonstrates excellent judgement, tact, and diplomacy and maintains confidentiality
•    Excellent public relations, oral and written communication, interpersonal and customer service skills
•    Minimum 3 years experience in an administrative role
