Summary of Duties:

  • Support patient care and staff through excellent customer service
  • Coordinate and book OR dates and procedures across various sites
  • Active participant in scheduling outpatient clinics, consultations and diagnostic appointments
  • Patient liaison for surgical procedures, including but not limited coordinating pre and post op appointments, testing, etc.
  • Manage and maintain the Provincial Wait Time Information System (WTIS)
  • Triage and register incoming referrals in a timely manner
  • Maintain accurate and up-to-date electronic medical records (EMR)
  • Preform educational support duties as required
  • Respond promptly to telephone and email inquiries
  • Manage and maintain the Staff Physician’s calendar and schedule
  • Collaborate daily with residents, fellows, students, medical personnel, research teams and administrative staff
  • Provide backup coverage for clinical and administrative functions as needed
  • Assume other responsibilities and duties as required

 

Qualifications/Skills:

  • Completion of a recognized Medical Office Administration program/diploma or equivalent at the community level, plus a minimum of two (2) years related practical experience
  • Working knowledge of electronic medical record (EMR) software
  • Exceptional time management, organizational and problem-solving skills with particular attention to detail
  • Ability to multitask and prioritize in a fast-paced environment with minimal supervision
  • Must be able to demonstrate flexibility and act independently while using sound judgment
  • Well-developed organizational, prioritization and time management skills to meet multiple deadlines
  • Superior interpersonal skills that will allow you to work well with a diverse group of individuals
  • Proven proficiency in English grammar, with excellent verbal and written communication and comprehension skills
  • Ability to maintain and protect patient confidentiality
  • Knowledge of medical terminology would be an asset
  • Experience managing the Provincial Wait Times Information Systems (WTIS) would be an advantage
  • Demonstrates proficiency and advanced knowledge in Microsoft Office (Outlook, Word, Excel, PowerPoint)
