The Administrative Coordinator provides comprehensive executive and research administrative support to a highly accomplished principal investigator. This role serves as a trusted partner to the PI, managing a complex portfolio of academic, research, leadership, and professional responsibilities while ensuring seamless coordination across multiple research programs, institutional committees, funding agencies, collaborators, and external stakeholders.
The incumbent exercises a high degree of discretion, judgement and independence in anticipating the PIs needs, managing competing priorities, and coordinating time-sensitive activities in a dynamic, fast-paced research environment.
Key Responsibilities
Administrative Coordination
- Coordinate complex meeting logistics involving senior institutional leaders, external organizations, funding agencies, and scientific collaborators
- Develop and continuously improve administrative processes to enhance efficiency and support the evolving needs of the research program
- Act as primary point of contact for researchers, trainees, institutional leadership, funding agencies, industry partners and external collaborators
- Draft high-quality correspondence, reports, presentations and communications on behalf of PI
- Exercise diplomacy and sound judgement when responding to sensitive or complex inquiries
- Coordinate PI submission of research grant applications including collation of required documentation.
Operations
- Independently identify administrative challenges and implement practical solutions
- Manage multiple competing priorities while consistently meeting deadlines in a high-pressure environment
- Maintain exceptional attention to detail and accuracy across all administrative activities
- Ensure strict confidentiality regarding research, personnel, funding and institutional matters
PI Support
- Serves as the primary administrative liaison for the PI, independently managing a high-volume and complex schedule.
- Coordinate and prioritize meetings, research commitments, leadership responsibilities, teaching activities, speaking engagements, travel and media requests.
- Anticipate scheduling conflicts and proactively resolve competing priorities while ensuring optimal use of the PIs time
- Prioritize scheduling requests and coordinate appointments with internal and external stakeholders – bringing any urgent issues to the attention of the PI
- Prepare comprehensive briefing materials, agendas, correspondence, presentations, and background documents for meetings and speaking engagements
- Manage confidential communication and sensitive information with professionalism and discretion
Qualifications & Competencies
- Bachelors degree in Business Administration, Health Sciences, Life Sciences or a related field, or an equivalent combination of education and experience
- Minimum of 3 years of progressively responsible experience providing executive or senior administrative support within an academic, healthcare, research, or scientific environment
- Experience coordinating complex calendars and knowledge of research administration
- Advance proficiency with Microsoft Office
- Exceptional organization and project coordination skills
- Outstanding judgement, professionalism and discretion
- Ability to anticipate needs and work proactively with minimal supervision
