The Working Condition Program is a revenue generating program specializing in assessment and treatment of musculoskeletal injuries. This is a fast paced, inter-disciplinary program that provides expedited access to assessment and treatment services to insurance companies, employers and disability management providers.

 

We are currently looking for an energetic Senior Secretary to join our team working both independently and in a multi-disciplinary team setting to provide the highest level of customer service. This position is ideal for someone who is motivated, able to adapt to, and prioritize changing work assignments, and has strong communication and time management skills.

 

Summary of Responsibilities and Duties:

  • Work collaboratively in a multi-disciplinary clinic setting with our team of Physician Specialists, Psychologists, Pain Specialists, Physical Therapists, Occupational Therapists, and Administration.
  • Provide patient reception, registration, scheduling and coordinating appointments for the interdisciplary team in the Treatment Department and/or Assessment area, order patient and staff supplies as needed.
  • Timely and accurately entering payroll for all staff
  • Liaise with external customers to communicate referral intake, scheduling and report submission processes; triage and direct new customer requests to appropriate team member.
  • Complete referral intake, scheduling, chart preparation, post clinic activities, report submission and billing reconciliation for a variety of referral sources and appointments.
  • Secure appointments and coordinate file transfer with internal and external physician offices.
  • Coordinate scheduling of surgical procedures and interventional pain injections with physicians, patients, referral source and internal offices (Pre-Op, Operating Room etc).
  • Monitor timelines and follow up on pending reports with Team Lead.
  • Coordinate monthly calendar of clinics with Team Lead and Manager and prepare clinical staffing assignments.
  • Support monthly review and follow up of outstanding payments with Finance Department and Team Lead.
  • Liaise with Clinical Coordinator Team on service authorizations and pending interventions.
  • Provide exceptional customer service for general inquiries regarding program services.
  • Work closely with Team Lead and Manager on process improvements and new initiatives in all programs.
  • Provide general administrative support as needed
  • Assist with training of new administrative staff as needed.

 

Qualifications/Skills:

  • Business or Office Administration Diploma
  • Advanced Computer Skills including Microsoft Office (Word, Excel,ord, l and Access Mandatred on follow up listilling invoice Access, Power Point).
  • 3-5 years Secretarial/Administrative experience in a busy health care environmenttsrated ability to take initiativeg with referral source with clincial .
  • Minimum 40 w.p.m typing speed.
  • Exceptional problem solving/data management/organizational skills.
  • Demonstrated ability to take initiative, assess priorities, organize workload, and meet deadlines with competing priorities.
  • Strong written and oral communication skills; excellent attention to detail; exceptional customer service skills.
  • Strong leadership qualities and interpersonal skills.
  • Strong background with 3rd Party payers (WSIB/Insurers/Employers).
  • Knowledge of WSIB Specialty Programs/Employer/Insurer process, billing, scheduling.
