Summary of Duties:

  • Responding to telephone calls and voice mail messages.
  • Intaking referrals and following up with referring physicians on incomplete information.
  • Maintaining computer tracking systems by entering required data for each referral/patient.
  • Scheduling appointments, notifying patients of cancelled clinics and providing alternative appointments.
  • Scheduling external tests and special procedures.
  • Preparing new and review patient charts and preparing charts for return to Health Records.
  • Receiving and registering clinic patients and processing charts for clinic. Providing support to the medical and clinical team to ensure the smooth flow of clinics.
  • Providing computer and accurate documentation for every in/out patient, as well as informing newly admitted patients of regulations and procedures; and allocating beds for incoming patients.
  • Creating Pre-admission patient accounts, Same Day Surgery Accounts and Recurring accounts as well as processing all patient admissions in patient registration system.
  • Confirming arrival and surgery times for inpatients and answering enquires by telephone.
  • Monitoring patient flow through different departments for Preadmission Clinic.
  • Processing midnight census and departmental filing duties. Processing and compiling charts for patient admissions.
  • Performing duties as required for the OR Booking Bed Management Desk
     

Qualifications/Skills:

  • Grade 12 education; post-secondary computer / typing courses. Microsoft Word and Outlook skills are required.
  • One year experience in a busy receptionist area, preferably in a hospital / health care environment.
  • Knowledge of Patient Registration and Scheduling Systems.
  • Excellent communication and customer service skills.
  • Tact and discretion in dealing with sensitive and confidential patient information.
  • Excellent communication skills, both verbal and written.
  • Good inter-personal skills and ability to work well with a diverse group of individuals.
  • Minimum 40 words per minute (net) typing speed with maximum 5% error rate.
  • Ability to manage multiple tasks and set priorities in a fast-paced environment.
  • Excellent time management, organizational skills, accuracy and attention to detail required.
