The Preclinical Research Facility at the Sunnybrook Research Institute (SRI) is proud to uphold the highest standards for the ethical care and use of animals in research, in accordance with the internal guidelines set by SRI, as well as the external guidelines set by the Canadian Council on Animal Care (CCAC) and the OMAFRA Animals for Research Act. The Preclinical Research Facility is an essential support for many different avenues of research that are integral to Sunnybrook's vision of Inventing the Future of Healthcare. The Administrative Assistant plays a key role in supporting the operational needs of the facility. 

 

Summary of Duties:

Ordering

  • Contact vendors for information and quotes for specialized items to orders
  • Match up and process invoices to Accounts Payable
  • Enter invoice details to facilitate recoveries
  • Create requisitions for Purchase Orders on SAP

Financial

  • Enter housing census, procedural, technical assistance, and anesthetic logs on a month-by-month basis
  • Prepare monthly reports to Principal Investigators, Research Accounting, Accounts Receivable to obtain timely recoveries
  • Monitor department expenses take corrective measures if required
  • Obtain and maintain up-to-date cost centres and financial information for each Principal Investigator and protocol
  • Annual cost analysis and review of pricing of services provided to Principal Investigators and increase when required to ensure that they are at a 80% recoverable rate

Operations

  • Departmental customer service contact via email and phone
  • Timesheet entry in Dimensions and other online scheduling software
  • General inventory management of departmental supplies
  • Departmental administrative support in facility database
  • Work on special projects as they arise

 

Qualifications/Skills:

  • Must have 1 – 2 years’ experience in an administrative assistant, financial support or customer service role
  • Must have excellent working knowledge of Microsoft Office (Outlook, Word, Excel PowerPoint)
  • Must be proficient in written and oral communication skills
  • Must be organized in approaching work tasks and able to prioritize effectively to deal with competing demands
  • Must be proficient in web applications and interested in learning new technologies
  • Must exercise tact and discretion when dealing with highly sensitive and confidential issues
  • Must be able to demonstrate flexibility as well as a comfort level with taking initiative Good problem-solving skills and an ability to work as a team member on projects
  • Keyboarding at 60 w.p.m. with maximum 5% error rate
