The Working Condition Program is a revenue generating program specializing in assessment and treatment of musculoskeletal injuries. This is a fast paced, inter-disciplinary program that provides expedited access to assessment and treatment services to insurance companies, employers and disability management providers.
We are currently looking for an energetic Receptionist to join our team working both independently and in a multi-disciplinary team setting to provide the highest level of customer service. This position is ideal for someone who is motivated, able to adapt to and prioritize changing work assignments, and has strong communication and time management skills.
Summary of Responsibilities and Duties:
- Work collaboratively in a multi-disciplinary clinic setting with our team of Physician Specialists, Psychologists, Pain Specialists, Physical Therapists, Occupational Therapists, Nurses and Administration.
- Provide reception and clerical support to the Working Condition Program.
- Respond to all incoming phone calls, directing inquiries to appropriate personnel/area.
- Greet and register patients for all assessment and treatment appointments.
- Register patients in hospital system, program databases, tracking spreadsheets, and external portals.
- Liaise with internal and external customers, providing accurate information pertaining to patient appointments and booking timeframes.
- Complete referral intake process; intake, triage, scheduling, and preparing clinic templates and patient charts.
- Complete clinic prep in advance of daily clinics by reconciling files against confirmed clinic schedules.
- Monitor, print, and submit radiology requisitions and final reports as required.
- Format, and submit clinic reports to referral source using external electronic portal as required.
- Complete post clinic tasks including faxing of medical referrals, tracking attendances, entering follow up time frames, and faxing of summary sheets as required.
- Reconcile clinic attendances to end of day clinic schedule to confirm accuracy and update database as appropriate.
- Maintain and update WSIB Electronic Referral System for appointment tracking and submission of clinic reports.
- Assist with follow up bookings and chart prep as required.
- Provide Administrative support for Clinical Team, Management Team, Administrative Team, and Global Programs.
- Other duties as required.
Qualifications/Skills:
- Grade 12 education; Post-secondary business/secretarial course.
- Advanced Computer Skills including Microsoft Office (Word, Excel, Access, Power Point).
- 3-5 years Receptionist experience in a busy health care environment (multiple phone lines, registration, scheduling).
- Exceptional customer service skills, interpersonal skills, and ability to work well within a team
- Experience working with Insurance Companies, Disability Management Companies, and other Third Party Customers (WSIB)
- Demonstrated ability to take initiative, assess priorities, organize workload, and meet deadlines with competing priorities.
- Strong written and oral communication skills.
- Ability to work under pressure in a fast paced environment with flexibility and diplomacy while providing excellent customer service.
- Able to communicate in a clear, concise manner.
- Knowledge of WSIB Specialty Programs/Employer/Insurer process, billing, scheduling.
- Keyboarding at 40w.p.m. with maximum 5% error Rate
