The Odette Cancer Center (OCC) Clinical Research Program is part of Sunnybrook Research Institute’s (SRI) ongoing commitment to participate in innovative and high quality clinical research.
Within OCC Clinical Research Program, the Research Director, Medical Director, Clinical Trial Manager, Operations Manager, and Budget & Operations Coordinator work with 35+ physicians actively participating in clinical research. The program consists of 55+ research staff split into 10 disease site groups: Breast, CNS/NETS, GI, GU, Gynecology, Head & Neck, Hematology, Lung, Melanoma, and Precision Medicine.
The OCC Clinical Research Program is seeking an individual with an eager can-do attitude for health-related administration to support the daily operations of this large and busy research program. This person will support the activities of the Clinical Trial Manager and Operations Manager and work closely with the research staff.
Summary of Duties and Responsibilities:
- Receive & sort time off emails from staff, maintain time off logs
- Enter and submit biweekly payroll
- Assist in maintaining HR-related documents and following up on signatures
- Support staff recruitment & onboarding by booking interviews and screening applicant documentation
- Track training for staff and PIs by maintaining training records, resumes, and other documentation
- Create & distribute reports for clinical trials operations, quality assurance, and finance
- Respond to internal and external inquiries from general information email inbox
- Ordering and maintenance of office supplies & laboratory supplies
- General office management such as restocking supplies cabinet and shared team areas
- Support maintenance of facilities by submitting maintenance requests
- Manage incoming mail and deliveries
- Facilitate invoicing and payments for FedEx and other external vendors
- Maintain clinical trials website
- Support organization of staff meetings
- Support metrics by conducting QA on database of accruals and trial metrics and updating data errors
- Send ad hoc and scheduled program-wide communications with reminders and updates
- Potential opportunity to provide backup coverage for clinical trials data entry, sample processing, completing trial documentation
- Organize and facilitate bi-annual off-site shipments of trial documents to Iron Mountain
- Assigned special projects and ad hoc tasks such as helping organize and set up social lunch events
- This position will require walking to different departments across the Sunnybrook Bayview Campus to drop off/pick up supplies and documents or pushing a cart of supplies

Qualifications/Skills:
- Requires the successful minimum completion of a Community College Diploma/Certificate or University Degree, in a health or administrative related discipline preferred
- Practical experience or education in administration or health care administration; experience working in a hospital is an asset
- Demonstrated ability to assume responsibility without direct supervision; exercises initiative, good judgment, and makes decisions within the scope of assigned authority
- Strong oral and written communication skills
- Professional, courteous, approachable manner with a “can-do” attitude
- Must have excellent customer service work ethic and be a team player
- Superior time management, organizational skills, accuracy and attention to detail and problem solving skills
- Ability to multi-task, prioritize work effectively and meet multiple deadlines
- Strong proficiency in Microsoft Outlook to send individual and group-wide emails, book meetings, organize multiple calendars
- Demonstrated proficient computer skills with strong skills in Microsoft Word and Excel required
