Program Coordinator, Ontario Breast Screening Program – Toronto Central North Regional Cancer Program

 

Summary of Duties

 

The Toronto Central (North) Regional Cancer Program (TCN RCP) is responsible for implementing provincial standards and programs for cancer care and ensuring service providers meet the requirements and targets set out in their partnership agreements with Ontario Health - Cancer Care Ontario. The TCN RCP is based out of the Odette Cancer Centre at Sunnybrook Health Sciences Centre and works closely with partner organizations in the region.

 

The TCN RCP is seeking a Program Coordinator who will play a pivotal role in supporting the Ontario Breast Screening Program (OBSP). The Ontario Breast Screening Program is a province-wide screening program that aims to reduce breast cancer deaths through regular screening. The TCN RCP current supports 23 OBSP sites and will be expanding in the next year to 50 sites.

 

Job Responsibilities:

OBSP/ICMS Program Coordination

  • Manage all aspects of the regional OBSP ICMS data management system, ensuring accuracy and functionality. Escalate issues to OH-CCO as needed.
  • Respond to all regional inquires related to ICMS and OBSP
  • Develop, deliver and coordinate training sessions to all new ICMS Users, as needed
  • Coordinate complex scheduling of external stakeholders for OBSP performance reviews
  • Maintain access controls and an up-to-date repository of all regional ICMS Users.
  • Prepare presentations on relevant OBSP ICMS/clerical updates and present updates to OBSP sites as needed
  • Present items related to ICMS/clerical performance improvement opportunities at regional meetings with OBSP sites
  • Conduct regular quality assurance activities to ensure adherence to clinical guidelines, and identify opportunities for process improvement.
  • Share OBSP data with stakeholders, identifying gaps, incomplete cases, and areas requiring follow-up.
  • Liaise with Regional Leads as needed to provide timely and effective support.

Projects

  • Develops detailed project plans outlining project processes, deliverables and time lines, in consultation with the Cancer Screening Manager
  • Develop and maintain detailed project plans to organize operational processes and projects, including: timelines, schedules and deliverables
  • Participate in annual Cancer Screening Team Work Plan development
  • Support year-end reporting requirements for cancer screening by providing updates to leadership on yearly projects, activities and deliverables
  • Participate in regional planning and initiatives related to OBSP and additional priority areas
  • Identify areas for improvement in program delivery and implement strategies to address them.
  • Support additional screening programs as needed (OCSP, OLSP, CCC)

Stakeholders

  • Build and maintain collaborative relationships with external stakeholders at regional and provincial levels.
  • Facilitate effective communication and engagement between internal teams and external partners to support program goals.

 

Qualifications/Skills:

Preferred candidate will hold a baccalaureate degree in a healthcare or science related field plus a minimum of 5 years related experience or the equivalent combination of education and experience

  • Strong understanding of the OBSP Program and ICMS Database
  • Strong communication and interpersonal skills: Ability to collaborate effectively with diverse teams, including volunteers, staff, and patients, ensuring smooth coordination of activities and patient care.
  • Organizational and multitasking abilities: Able to manage multiple tasks such as patient support, data entry, and project involvement while maintaining attention to detail and meeting deadlines.
  • Teamwork and collaboration: Proven ability to work well in a team environment.
  • Experience with data entry and record-keeping: Accuracy and proficiency in completing paper-based and electronic data entry.
  • Problem-solving skills: Able to provide constructive feedback on processes and contribute to the continuous improvement of the project through frontline experiences.
  • Experience in healthcare or similar environments: Prior experience in a healthcare setting or working with patient care processes is an asset.
  • Adaptability: Comfortable working in a dynamic environment with the flexibility to support patients directly and respond to evolving project needs.
  • Basic computer skills: Proficiency in Microsoft Office and other relevant software for data entry and reporting.
