Sunnybrook Research Institute is the research enterprise of Sunnybrook Health Sciences Centre, a teaching hospital fully affiliated with the University of Toronto. Research spans three Toronto-based campuses, eight programs and three scientific platforms. We are seeking a highly motivated and organized Assistant Project Manager to join an interdisciplinary research program focused on developing therapeutic strategies for the treatment of neurological disorders. The successful candidate will manage a multi-institutional grant focused on neuronal reprogramming as a therapeutic approach. This position offers the opportunity to work with an international, interdisciplinary research team.

 

Key Responsibilities

Project Coordination:

Support the advancement of the research program by:

  • Coordinating multiple projects simultaneously with competing priorities
  • Monitoring project timelines, deliverables, and milestones
  • Maintaining project plan and updating when required
  • Identifying potential risks and developing mitigation strategies

Program operations and team support:

Support program delivery and team operations by:

  • Coordinating educational initiatives, events, and stakeholder communications
  • Supporting reporting, meetings, and ongoing operational activities
  • Maintaining website content, newsletters, and program resources
  • Contributing to process improvements and operational efficiency

Annual Symposium Organization:

Manage the planning and execution of the program’s annual symposium, including:

  • Coordinating event logistics, including program schedule, timelines, venue, and vendors
  • Managing budgets, speaker communication, and attendee engagement
  • Overseeing registration, promotion, and on-site operations
  • Supporting sponsorship development and external partner relationships

Program reporting:

  • Involved in collecting, consolidating, synthesizing, and reporting on research progress, metrics and achievements
  • Ensure timely completion of reporting requirements and compliance with deadlines
  • Contribute to tracking program milestones and outcomes across the team
  • Support the development of reports, KPI summaries, terms of references and other documentation

Governance support:

Provide administrative and coordination support, including:

  • Preparing agenda, briefing materials and supporting documentation
  • Recording and distributing meeting minutes
  • Tracking action items and perform follow-ups

Budget and financial coordination:

  • Manage and monitor project and grant budgets in compliance with funding agency policies
  • Track expenditures and allocations across research teams
  • Support procurement, invoicing, reimbursements, and financial reporting
  • Assist with budget planning and allocation across program activities

 

Qualifications:

  • Bachelor’s degree in health administration, science, or a related field (Master’s degree is an asset)
  • PMP certification is preferred; or candidates in the process of pursuing a project management certificate will be prioritized.
  • 3–5 years of experience in project management, preferably in a healthcare, academic, or research environment
  • Experience supporting events, conferences, or large-scale meetings is an asset
  • Familiarity with research environments, grant-funded programs, or academic reporting is preferred

Skills and Competencies:

  • Strong organizational and prioritization abilities, with experience managing competing deadlines
  • Professional written and verbal communication skills, including reporting and stakeholder engagement
  • Detail oriented with the ability to synthesize complex information
  • Proficiency in project management tools and Microsoft Office Suite
  • Ability to work independently while collaborating effectively within a team
  • Excellent critical thinking skills in a fast-paced environment
  • Financial literacy on budget monitoring is preferred
