Position Overview
The Donor Record Coordinator is responsible for entering critical donor and constituent data accurately, on time, and consistently in BBCRM. This role is responsible for fields that are restricted to protect data, and safeguards data quality by applying consistent standards, validating source information, and resolving discrepancies. Working within the Data team, the Coordinator ensures critical CRM information is reliable for fundraising, reporting, analytics, and decision-making.
During Project Neptune implementation, the role will report to the Project Neptune Director and provide dedicated support for data clean-up, migration readiness, and other implementation activities as required.
Key Duties and Responsibilities
- Responsible for maintaining the accuracy and quality of data within locked down BBCRM fields.
- Enters and maintains critical constituent information including biographical, relationship, and other critical data elements in accordance with established data standards and controls
- Validates and ensures information is complete, accurate and consistently maintained across all records to support data management and reliable reporting
- Review data requests from Foundation teams, validate and process updates within established timeframes.
- Identify and correct data errors, duplicates, and inconsistencies in locked fields; escalate systemic issues.
- Maintain documentation of data entry procedures for restricted fields to support consistency and continuity.
- Identify opportunities to improve the efficiency, consistency, and accuracy of record-maintenance processes.
- Flag recurring data-quality issues that indicate a training or compliance gap and provide recommendations to close gaps
- Support periodic data audits and quality checks led by the Data team.
Qualifications and Competencies
Below are qualifications and competencies we believe the successful candidate will need for this role:
- 2+ years of experience in database administration, records management, or data entry, ideally in a fundraising, advancement, or CRM environment.
- Strong attention to detail and commitment to accuracy; with the ability to manage high-volume, repetitive data work while meeting established timelines
- Understanding of data privacy and confidentiality requirements for donor information.
- Strong written communication skills for documenting procedures and coordinating with requesting teams.
- Working knowledge of BBCRM or a comparable CRM platform is considered an asset.
Total Rewards Package
This role has been evaluated with an annual salary range of $47,000-68,000. The hiring range for this position is $47,000-58,000. The salary will be determined based on the successful candidate’s years of experience, qualifications and competencies that are relevant to this position.
In addition to salary, our competitive compensation package also includes, comprehensive health and dental benefits, HOOPP (Healthcare of Ontario Pension Plan), hybrid work environment with a minimum of two (2) days in office, two (2) float days each fiscal year and additional Sunny Days (paid Foundation office closures around select long weekends and in late December).
