Position Overview

We’re looking for a Stewardship Coordinator to join our team and help develop meaningful engagement for our donors.  In this role, you’ll provide administrative and coordination support to the Stewardship team and broader Donor Experience portfolio. You’ll help plan, coordinate, and execute donor stewardship and engagement activities and contribute to a positive, consistent donor experience across the organization.

The ideal candidate is proactive, detail-oriented, and comfortable working in a complex environment. As a collaborative and adaptable member of the Stewardship team, you’ll embrace the Foundation’s “one vision, one goal” philosophy and work effectively with colleagues across the Foundation and Hospital.

 

Key Duties & Responsibilities:

Administrative & Operational Support

  • Provide administrative support to the Stewardship team, including invoice coding, data analysis, sorting and coding of lists, printing and mailing, preparing meeting materials, assembling reports, and maintaining administrative systems in accordance with filing protocols.
  • Provide administrative support, as required, to the Senior Manager, Stewardship and the Executive Director, Donor Experience.
  • Maintain accurate records and track donor stewardship obligations in Raiser’s Edge and Gift Map, including ongoing maintenance of “Name for Recognition.”
  • Assist with high-priority projects aligned with organizational goals and perform other duties as assigned.

Donor Communications & Stewardship

  • Prepare and coordinate a range of donor thank-you and acknowledgment letters, including correspondence from the Office of the President & CEO.
  • Coordinate mailings and execution of all donor stewardship correspondence, including gift agreements, stewardship reports, holiday cards, National Volunteer Week communications, and other donor publications.
  • Provide administrative leadership for board thank-you calls.

Donor Recognition & Engagement

  • Support donor recognition initiatives, including donor wall list pulls, ad hoc updates for leadership donors, maintenance of the Stewardship donor engagement matrix, and development of recognition packages and signage installations, as required.
  • Provide creative leadership and coordination support for the Digital Donor Wall and related video content.
  • Work with external vendors on special projects and custom donor gifts.

Events, Projects & Tools

  • Support the Manager, Engagement Strategy and Recognition with the planning and execution of donor engagement events.
  • Serve as a team lead for stewardship-related project management and organizational tools.

 

Qualifications & Competencies:

  • Undergraduate degree required or an equivalent combination of education and experience.
  • Experience in coordination, administration, customer service or related work experience preferred.
  • Experience working with donors, volunteers, and senior leaders is an asset.
  • Strong working knowledge of Microsoft Office (Word, Excel, PowerPoint).
  • Working knowledge of fundraising and design tools such as Raiser’s Edge, Canva, Adobe products is a strong asset.
  • Strong organizational, planning, and time management skills with exceptional attention to detail.
  • Ability to manage multiple priorities, meet deadlines, and work both collaboratively and independently
  • Strong project management skills and sound judgment including knowing when to involve others.
  • Excellent interpersonal, oral, and written communication skills.
  • Professional and courteous in donor interactions.
  • Adaptable and open to change, with a mindset focused on continuous improvement.

 

Total Rewards Package

The hiring range for this position is $47,000 – 58,000. The salary will be determined based on the successful candidate’s years of experience, qualifications and competencies that are relevant to this position.

In addition to salary, our competitive compensation package also includes, comprehensive health and dental benefits, HOOPP (Healthcare of Ontario Pension Plan), hybrid work environment with a minimum of two (2) days in office, 2 float days each fiscal year and additional Sunny Days (long weekend closures in advance of summer long weekends and Christmas Eve).
