Position Overview
We’re looking for a Donor Communications Coordinator to join our team to support the planning, development, and delivery of donor-facing communications that build trust, demonstrate impact, and strengthen long-term relationships for Sunnybrook Foundation. In this role, you’ll provide essential coordination and administrative support to the Donor Communications team, with responsibilities including digital filing, content development, and project coordination across writing, video, and design.
This role provides a fantastic opportunity to gain hands-on experience in donor communications and project management while contributing to meaningful community engagement initiatives.
As a collaborative and creative member of the Donor Communications team, you’ll embrace the Foundation’s “one vision, one goal” philosophy and work effectively with colleagues across the Foundation and Hospital.
Key Duties & Responsibilities:
Communications & Content Support
- Coordinate workflow and review processes for donor-facing communications.
- Prepare, format, and organize content and files for review, production, and distribution.
- Use desktop publishing and layout designing software for donor communications materials, including proposals, overviews, decks, fact sheets etc.
- Provide writing, editing, and layout support for donor communications across print and digital formats.
- Support the development of video projects highlighting donor impact, patient stories, and fundraising priorities.
- Support freelance workflow by preparing delegation emails, tracking assignments, and facilitating document handoffs.
- Assist with scheduling, note-taking, and other administrative tasks as required.
- Participate in regular team meetings, brainstorming sessions, and training opportunities to contribute ideas and promote continuous improvement.
Project & Workflow Coordination
- Gather background materials and prepare files to support Communications Officers.
- Coordinate timelines, schedules, and review cycles to support the smooth execution of donor communications projects.
- Assist with meeting logistics, including interview scheduling, internal reviews, and cross-functional collaboration with Marketing and Hospital partners.
- Monitor and update project tasks within the Foundation’s project management system, ensuring deadlines, deliverables, and approvals remain on track.
Asset Management
- Maintain and organize team assets such as photo libraries, consent documentation, editorial calendars, and other creative files.
- Support file organization, version control and naming conventions to ensure accuracy and consistency.
- Upload final materials to internal platforms and share approved assets with cross-functional partners.
- Act as a systems champion for Donor Communications platforms by providing troubleshooting support, encouraging best practices, and helping onboard new team members.
Qualifications & Competencies:
- Education or experience in communications, marketing, journalism, fundraising or related field or an equivalent combination of skills and experience.
- Experience in communications, project coordination, marketing, or a related administrative role (within a non-profit, agency, or healthcare environment is an asset).
- Strong organizational and time-management skills with the ability to manage multiple priorities.
- Experience with project management or asset management systems (Wrike, Canto, SharePoint, or similar) is an asset.
- Excellent written and verbal communication skills.
- Strong attention to detail in file handling, version control, and information management.
- Ability to handle confidential and sensitive information with discretion.
- Ability to work collaboratively across teams and build strong working relationships.
- Proficient using Microsoft Office, including Word, PowerPoint, and Excel.
- Working knowledge of design and content tools (Canva, Adobe Creative Suite, or similar).
- Experience with CRM systems (e.g., Blackbaud) is an asset.
Total Rewards Package
The hiring range for this position is $47,000 – $58,000 per year. The salary will be determined based on the successful candidate’s years of experience, qualifications and competencies that are relevant to this position.
In addition to a competitive salary, our total rewards package includes comprehensive health and dental benefits, participation in HOOPP (Healthcare of Ontario Pension Plan), flexible work arrangements with a minimum of two (2) days in office, and learning and growth opportunities.
