Summary of Duties

The Administrative Assistant  is responsible for co-ordination of patient flow and patient activities:  administrative support to the Drug Allergy  Clinic team within the Integrated Community Program

  • Duties include: Patient Registration and updating of patient information, scheduling appointment, Tracking and Monitoring patients’ waitlist and ordering supplies etc.
  • Coordination of all administration and clerical activities within the department
  • Coordinate patient flow during (busy) clinics
  • Greet patients, answer phone and perform other general reception duties
  • Assist clinic physicians, pharmacist, nurse  as needed
  • Manage Drug Allergy Clinic emails,  faxes and voice messages
  • Respond to incoming phone calls, direct inquiries to appropriate personnel/area
  • Other administrative duties as required

Qualifications/Skills:

  •  Completion of Medical Office Administration program or the equivalent combination of education and experience
  • One year of Administrative/Business experience required, in a health care setting preferred
  • Working knowledge of Accuro, QuadraMed, Sunnycare, Outlook, MS Office and excel an asset
  • Strong attention to detail, excellent verbal and written communication skills
  • Outstanding interpersonal and customer service skills
  • Proven ability to respond effectively in a stressful situations
  • Excellent problem solving skills, ability to deal with conflict and communicate appropriately with patients, families and staff
  • Effective time management skills and ability to multitask is essential
  • Demonstrated Patient-Focused Care/Customer Service behavior
  • Advanced organizational skills and ability to prioritize in a fast- paced environment
  • Excellent interpersonal skills and demonstrated understanding and ability to work in an inter-professional team
  • Keyboarding at 40 net w.p.m minute or keyboarding at 106 net keystrokes per minute
  • Demonstrated satisfactory attendance and punctuality required
