Summary of Duties:
Under the direction of the Barzakay Brain Health Clinic Patient Care Manager, the Administrative Coordinator will be responsible for:
- Overseeing the coordination of the schedules for all outpatient Barzakay Clinics
- Collaborating with clinical/support staff and physicians and their office staff to resolve scheduling conflicts and ensure scheduling is aligned to meet patient care needs and meet access demands.
- Maintaining a record of master physician/provider scheduling templates.
- Overseeing the scheduling of clinics based on defined guidelines and ensuring optimization of clinic resources.
- Setting up clinics accurately within the various EMR systems as per established parameters.
- Providing coordination and implementation support in implementing new processes and improving on established scheduling processes and arranging programming changes to scheduler configuration system and information systems, as needed.
- Facilitating the identification, implementation and monitoring of continuous improvement initiatives related to key clinic scheduling processes.
- Providing coverage and support to the team, as needed.
Qualifications/Skills:
- Relevant university or college degree or commensurate experience in a clinic setting;
- High degree of computer literacy, including experience working with scheduling software applications and their configuration;
- Working knowledge of Organisational Information Systems such as Accuro, SunnyCare, QuadraMed are preferred;
- Minimum (2) years’ experience in an administrative position in a hospital/health care setting that required clinic coordination;
- Excellent interpersonal skills and ability to work well with a diverse group of individuals;
- Strong verbal and written communication skills;
- High degree of attention to detail;
- Ability to exercise tact and discretion when dealing with sensitive and highly confidential issues;
- Highly organized, ability to prioritize tasks and flexible to accommodate changing demands in a fast paced environment;
- Ability to adapt to change and implement plans and processes to meet the evolving needs of the patients and clinic;
- Creative thinker with the ability to come up with outside-the-box-solutions to challenging problems;
- Other duties may be assigned to support clinic functions.
