Position Summary

The Coordinator, Community Giving plays a key supporting role within the Community Giving team at Sunnybrook Foundation. This position is responsible for coordinating and executing administrative and operational functions that enable the effective implementation of fundraising campaigns and donor engagement initiatives, with a focus on direct response, mid-level, monthly, and tribute giving, as well as the staff and community 50/50 lottery.

 

Reporting to the Executive Director, Community Giving this role works cross-functionally with colleagues across the Foundation, including Marketing & Communications, Finance, and Donor Relations. The Coordinator brings strong organizational skills, attention to detail, and a passion for donor experience and philanthropy to help deliver exceptional results that support Sunnybrook’s mission to invent the future of health care.

 

Key Duties and Responsibilities

Campaign and Program Coordination

  • Assist in coordinating the staff and community 50/50 lottery programs, including ticket sales tracking, prize logistics, reporting, and AGCO compliance documentation.
  • Help maintain campaign calendars and monitor campaign milestones and deadlines to ensure smooth execution.
  • Support the planning and execution of integrated fundraising campaigns (e.g., direct mail, email, phone, digital, D2D) by managing timelines, tracking deliverables, and coordinating with internal and external partners.

Data, Reporting & Donor Engagement

  • Support stewardship activities for direct response and mid-level donors, including sending thank-you notes, coordinating donor recognition packages, and assisting with personal outreach initiatives.
  • Generate regular and ad hoc reports related to campaign performance, donor engagement, and revenue tracking as required.

Administrative Support

  • Manage the coordination of Community Giving invoices, ensuring timely approval by the signing authority and processing by the finance department.
  • Manage shared team resources, including campaign files, meeting agendas and summaries of next steps and action items, and budget tracking documents.
  • Prepare presentations, briefing notes, and internal reports to support planning and decision-making.
  • Monitor inventory and coordinate the production of campaign collateral, stewardship materials, and promotional items.

Team Collaboration & Cross-Functional Support

  • Provide project support for key departmental initiatives, including strategic planning sessions, program reviews, and cross-functional collaborations.
  • Support the integration of Community Giving strategies across departments by assisting with internal coordination and communication.
  • Participate in regular team meetings, brainstorming sessions, and training opportunities to contribute ideas and promote continuous improvement.

 

Qualifications and Competencies

  • Minimum 2 years of experience in a fundraising, marketing, or administrative support role (ideally within the nonprofit or healthcare sector).
  • Highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment.
  • Excellent interpersonal and communication skills, with a professional and donor-centered approach.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint); experience with donor databases (e.g., Raiser’s Edge, CRM Solutions) is an asset.
  • Comfortable working with data, tracking campaign performance, and producing reports.
  • Demonstrated ability to work collaboratively as part of a team and independently.

Total Rewards Package

The hiring range for this position is $47,000 - 58,000. The salary will be determined based on the successful candidate’s years of experience, qualifications and competencies that are relevant to this position.

In addition to salary, our competitive compensation package also includes, comprehensive health and dental benefits, HOOPP (Healthcare of Ontario Pension Plan), hybrid work environment with a minimum of two (2) days in office, 2 float days each fiscal year and additional Sunny Days (long weekend closures in advance of summer long weekends and Christmas Eve).
