Summary of Duties

•    Act as primary contact for Occupational Health & Safety Department
•    Triages patients and phone calls to determine urgency/sensitivity of issues and respond according to established guidelines
•    Maintain confidential medical records and documents for all SHSC, ACMS, ICES, etc.
•    Act as administrative assistant for department and OHS Physician.
•    Track and maintain inventory of medical supplies, purchases, leases, equipment, stationery, laundry, subscriptions, and daily log sheets.
•    Receive, sort, and redirect mail, faxes, courier – review to ensure it is forwarded to responsible area
•    Coordinates the booking process for new employee health reviews and the creation of departmental electronic & paper files for new employees.  
•    Assist Occupational Health staff with maintenance of routine reports, forms, data and collection tools as directed.
•    Receives, reviews and prioritizes complaints, hazard reports and incident investigations for the Safety and Nursing staff. 
•    Participates in the maintenance of the departmental intranet website
•    Regularly files employee records

 

Qualifications/Skills:
•    Post-secondary Medical Secretary Certificate required.  Other college diploma combined with significant related medical secretarial experience may be considered as acceptable alternative.  
•    Good team player
•    Significant recent related administrative assistant experience in a clinical/medical setting.  
•    Demonstrated proficiency with data entry and medical terminology required
•    Demonstrated excellent written and oral communication skills.
•    Superior time management, organizational skills, accuracy and attention to detail required
•    Proficient with MS Excel, Word, and Outlook required.  Familiarity with Parklane an asset
